Exchequer Report (HL Lianor Pereira DoValle)

Checking: 4010.34

MM: 17, 650.04

Passed out budget report from Q3 2015 and budget for 2016.

A&S $253. Black Lion: 53. Baronial banquet is -$10.

Officers are not submitting receipts or are not using their money. We need to figure out less expensive locations, and making more money at our events.

Stefan: key is 1) making our events more successful. 2) Crown was a lot of work for 2 years in a row. We’re a big enough barony that we should be bidding for a kingdom event every 18 months. We should effectively be able to do that.  Difference between today in Madrone and 2 years ago is that we have more active folks. Stephen is working on May 2017, since 2016 didn’t work out.

Huge space at Mt Si Park in North Bend. Have to deal with several municipalities, but site was worth it.

What were issues? Hoops we had to jump through, e.g. events over 800 ppl we’d have to have off-duty cops, but constabulary sufficed. After economy tanked, we tried to go back, they were requiring off duty officers until after the event.

Presenting to site owner with best impression is important so site owner doesn’t throw up roadblocks. Perhaps Etienette and Sarra could go talk to site owner about bid. July Coronation site might be good there. Perhaps it could become a go-to site. When last minute issues happened the second year, the site steward team was able to respond more effectively.  Train new event stewards like Gera and Alicia and Stephen. Been doing it with A&S already.

Etienette will look into the site.

Etienette – we need to advertise our events and get people to them.

We had equestrian in Mt Si as well. Color coded parking was awesome.

Sir Brand works for UW which has a program similar to MS’ giving program. He requested permission for Madrone to be part of that list. Gera: Can we donate similarly through United Way? Etienette – if it was set up, only a portion.

We want to stir up interest at UW.

We don’t want to dip into reserve.

Donations help defray cost. We don’t have an invoice yet. Running this one comparable to Mercer Island location.

Webminister: bills aren’t being submitted.

Gera: rapier needs more $$ based on proposal.

Sarra: scribal budget numbers should be the same.

Family Activities officer: don’t add the budget line item in until they have the officer.

Send budget to email list. Don’t post to FB as it’s public. Let barony know that they need to come to December curia to provide input.

Baronage 1 & 2 – separate line items for separate baronies.

Events

Close out

·       9/19-20/15:  Baronial Banquet

It seemed all had a good time and left happily stuffed.  The site caretaker was very happy with us & our care & cleaning of the site. I’m waiting for some final gate numbers from Lianor and the remaining receipts from culinary.  Close out deferred until the December meeting.

Sarah: many thanks for allergy free options

Stefan: flowed really well, even with oven delay, went very smoothly. Ryan’s best friend ate everything and really enjoyed it.

Etienette: will never do that many pies in one feast again. Site had convection oven which was able to do pork well, as well as pies, greater capacity.

In Process

·       3/19/16: Madrone A&S Championship (HL Emma la Rousse d’Argentan)

o   No new news since last month but looking ahead, I will be presenting my official event proposal including budget for the first time at December Curia.

o   I have been in contact with HL Gera and I understand that we may also need to host the bardic championship. I think that is eminently do-able.

o   Sarra is kitchen head for dinner at A&S. Norman/early period food.

o   Sarra cautions us to take care with space utilization at the site A&S is planned for. We already use most of the site for existing needs; using sanctuary would divide.

o   Gera: PDL’s event this year would be outdoor, in the park, hence the need to combine A&S.

o   Stefan suggested doing bardic in the ready room; Gera also suggested classes in ready room and bardic downstairs. Stefan: We’ve really hit confines of that space. Lack of elevator could be a problem. If budget allows, having it in chapel.

o   Maddelena: mix bardic and A&S.

·       9/23-25/16: Emprise of the Black Lion. 2015 made 53.76 in profit. We really had a numbers hit because of Lord Defender and Last Chance.  This also affected their attendance. No advantage for weekend conflict.

o   Gera: DRF for dates above. Exploring sites for camping and reduced site fee.

An abbreviated A&S report:

·       activities continue amongst the various guilds.

·       baronial banquet was a great success

·       although Mistress Laurellen’s presentation was more “free form /round table discussion” than originally planned, it was still enjoyed by all who attended and she has agreed to participate in a series of presentations being worked on for early 2016

·       plans proceed for new champion mantles/hoods, I am looking at material options presently

·       operational note: I am not being c/c’ed the various guild reports (except Culinary, theirs I am receiving) to be able to accurately compile my quarterly report to the regional A&S reporting deputy, I really NEED that to start happening. They can send those reports to

joel.reid@ruffattire.com

-by all accounts, and I am sure Ysolt will provide more in depth detail in her Culinary report, the scholarship and efforts of the Madrone Culinary guild were as well received at Kibgdom Feast as they were here at home at the Madrone Baronial Banquet.

That is the extent of my report this month. I hope this finds the populace and Baron/Baroness envigorated for a busy winter season!

Yours in Service

Aeron

Branch Marshal (5/15) (Don Enzio Bandinelli)

Chatelaine (6/16)(Baroness Bergdis Thorgrimsdottir)

We had 1 new email or Facebook inquiry in October, from a person looking for rapier activities for a child. I directed her to the practice for observation and the YAC Coordinator for participation. We had 10 new members in the meet-up group, one of whom was looking for youth combat, so I referred her to the YAC Coordinator. I have provided information, and generally encouraged new contacts to come to a Social (Madrone or Porte de l’Eau) as their first activity. We had a few new people at the Month Baronial Social. We also had a small but very successful demo for the KapKa School, with dancing and music, heavy fighting, scribal painting, and many other things to look at and ask about. Several people sounded interested in further follow-up. My thanks to those who were able to participate after the date changes. The quarterly report was sent in on time.

Web (8/16) (Lady Alicia du Bois)

I continue to receive feedback and suggestions for our Baronial Website. This is wonderful and I welcome more!

What happened in October:

Baronial Website Project:

– Sitemap of current website has been generated and emailed to Seneschal. A small group of people will do a first draft of a new sitemap based on other Baronial websites within the SCA, feedback of the populace of Madrone, and user-friendly taxonomy strategies.

Website Maintenance:

– updates as requested

– removed “featured upcoming events” from the website because they have all passed.

Question:

– Is there still Archery practice? I have a vague recollection that this is a seasonal (due to light restrictions) practice and may need to come off the Baronial calendar. I will post to Facebook about this also.

Respectfully submitted,

The Honorable Lady Alicia du Bois

Webster of Madrone

Canton of Porte de l’Eau (Baroness Aleksandra Lavrovna)

After much discussion at the last meeting, we’ve changed the date & direction for our 2016 event.  We all agreed that we wanted to see an at the park demo event happen again, so we’re going to do one.  Pending final approval from the King Co. parks, we will be at Marymoore on Saturday, May 14 for “Saturday in the Park with Sven.”  More details will be shared with the Barony as they become available.  Otherwise, the Canton is flowing along in its usual laid-back way.
