Barony of Madrone Curia

Agenda for

July 13, 2015

7:06PM  Call to Order

B&B Welcome (Baron Stefan of Pembroke/Baroness Emmelina de Coventry)

·      Peasants Revel was super fun! Well attended.

·      Baron Stefan thanks the populace for throwing their gifts and showing their love; therefore, no beheadings.

·      It has become Stefan’s favorite event of the year. He naps, and is very lazy, and likes it that way.

·      Many thanks to Carl and to the Culinary Guild!

·      July Coronation is this coming weekend. The Madrone pavilion will be put up on Friday, right next to Kingdom Pavilion.

o   70% of Madrone seems to be on retinue for TRH

o   THR will also be asking to use the Madrone pavilion to put food in for the coronation ball they are having after court

o   We will have our awesome new huge pavilion on the erics, and will try to get it cleaned up after court for the ball. All help is welcome and desired!!!

·      As we have our next event coming up (Emprise), be thinking of nominations/recommendations for awards. Please send an email to the B&B to get the ball rolling on that! Recommendations are very helpful.

Seneschal Welcome and Report (Lady Gera Gangolffin)

·      TE not going to be here next month for Curia (driving from Pennsic)

·      Do we want to have an administrative curia? Or cancel August Curia and pick back up in September.

·      We will change the date in August rather than cancelling

Exchequer Report (HL Lianor Pereira DoValle)

·      Next Financial Committee meeting in August, date TBD

·      Checking $ 7,001.88

·      Money Market $ 17,623.36

·      Storage unit is paid up until/through the end of the year.

Events

Close out

·      7/11: Peasants’ Revel

o   Sgt. Carl—concluding bits and pieces

o   Well attended

o   90 people sign in at gate, 70 stayed for soup and dinner

o   Innovations this year, Village Heads

o   Gera’s Village won!

o   Price of cheese is always going up. Did a large wheel and a small wheel, thinking of doing an adult and a kids next year.

o   Weather was cooler than thought, little sprinkle at the end.

o   All and all it went well!

o   NO close-out needed because there are no financials with this event.

o   Quite a few newcomers came; guests from DM came; lots of kids this year!!

o   Baron thanks Carl for all of his hard work. And to ED, thank you so very much! He puts a lot of heart and soul into Peasants each year. And also Thank You to the culinary guild for the food!

In Process

·      7/25: Amtgard joint practice (Iacobo ibn Daoud)

o   Lord Cesare has been INSTRUMENTAL in helping get this together.

o   Baron of Amtgard thought there would be a conflict with an Amtgard campout, but things are still on track

o   Marymoor Park, two parking structures closest to Lot D, we will try to get that picnic shelter

o   Bring your armor, bring your projects, they want to see what we do and we want to see what they do. They are excited about seeing scribal and music.

o   There will be waivers on site because of the fighting aspect of the event.

o   Our Branch Marshal will be there, and everyone who is fighting will sign a waiver just like a practice.

o   Baron says great opportunity to draw on Amtgard, but don’t try to oversell the SCA (we are not trying to steal their members!).  We’re going in with the expectation of meeting folks, making friends, and exchanging information!

o   Approach is one of sister organizations and getting rid of preconceived notions that each group has of the other.

·      9/19-20:  Emprise of the Black Lion (Master Guillaume de Garrigues)

o   Report given by Annisa.

o   Have the four judges (same as last year)

o   Insurance has been ordered

o   Crier copy is in

o   Postcards being printed (for invitation)

o   August and September practice before the event, so come out and authorize and train as ground crew. (See Madrone Eq Guild website for directions) Next practice date is August 8.

o   Folks coming from CA, and perhaps IN to joust at the event. Four riders are coming from out of kingdom.

o   Encourage folks to come help out in whatever way they would like

o   Inviting musicians to come and be in the musician tent to entertain the nobility and populace for the day

o   Reminder: NOT a camping event

o   Archery?  We think so. Thinks we have somebody but not certain who that might be.

o   Also have heavy MIC lined up.

o   DL and BAO are doing a joint event on the same day, so that may pull some numbers from us. So each one of us needs to make sure that we are talking to our friends and inviting them and making sure that they are coming!

·      10/17: Madrone Baronial Feast (Baroness Aleksandra Lavrovna)

o   Reconstructions are continuing.

o   Watch for reservations to open just after July Coronation this weekend.

o   If you have food issues, let the guild know in advance so that they can determine whether they can modify for you so that you can get a full experience from this feast.

o   Not currently on TRM progress, but will check

New

·      May Crown 2016 bid (Stephen des Jardin)

o   Vulkanfeldt does not wish to partner with us on that because they want to submit their own bid for 2016

o   HE still interested in doing a bid, now looking at 2017

o   Looking for populace support

o   Hood River group is very excited to use that site again and to partner with a group for another Crown event

o   Lady Gera will pass that information to HE

Old Business

New Business

·      Chirugeonate is officially closing, per announcement from Corporate (see below)

Closure of the Office of the Chirurgeonate – August 10, 2015

Posted on July 11th

The decision has been made to close the Office of the Chirurgeonate as of August 10th, 2015. The board and corporate officers want to extend their gratitude for ALL who have served our organization in this capacity in the past. To those who have provided feedback, questions, and worked to explore options for scopes of the office that would allow our organization to retain the office and maintain insurance coverage for the officers and our organization, many thanks as well.

To clarify some of the concerns that have been raised during the many discussions of this change, the board and corporate officers want to provide the following information:

The Society Seneschal has been directed to remove references to the Chirurgeonate from the Record Retention Policy. Existing records should be retained for 2 years for adults, 21 years for minors, then shredded to ensure any Personally Identifying Information is destroyed.
Local groups should sort records into Adult, Minor and Destroy categories and ship (paid for by the local group) records to the corporate office. The corporate office will retain records and handle the shredding.

Each Kingdom has thirty business days to transport these records to the corporate office.

Event Coordinators/Stewards/Autocrats are still responsible for arranging for EMS on site if that is required by municipal/county/state requirements. This most often will apply to large events projecting an attendance greater than the threshold set by the applicable modern agency. It is recommended to include information regarding distance from site to medical care in event announcements, particularly for camping events.

The marshallate will still be responsible for reporting injuries on the field. Seneschals will still be responsible for reporting injuries (particularly requiring transport) as currently directed.

Tangible assets owned by SCA branches that are specific to the Office of the Chirurgeon may be retained or donated or sold, in accordance with applicable financial policies.

Over the counter medications may not be purchased by SCA branches to distribute or make available to event attendees.

The badge of the fleam will remain available for those individual volunteers (not affiliated with the SCA, Inc. and its Kingdoms and local groups) willing to provide basic first aid.

Should additional questions or concerns regarding this change arise, please direct them to the SCA President, at president@sca.org

Our thanks again, to all the volunteers that have helped keep our organization going for 50 years!

Leslie Vaughn
President, SCA, Inc

A.J. Pongratz
Vice President of Operations, SCA, Inc.

Arts & Sciences (6/17) (HE Aeron Corrino)

A&S report Creativity continues:

Despite explosive bursts of creative energy on the part of Many within our Barony, the Kingdom of Avacal is now richer for the efforts of members of the Madrone Populace, of particular note (though not limited to) are Alicia Du Bois for her excellent hand at calligraphy on the Kingdom Scroll who’s execution was managed by our very own Sarra The Brave and the design layout work done by our very own A&S Champion Adrianna The Fierce, who also drafted the design which our very own Baron then cast in metal to become their kingdom seal. Many thanks and congratulations are in order for all of the Madronans who participated in the effort to make sure Avacal is decorated with a wealth of regalia to begin its journey as a kingdom with!

In other news, our glorious Bardic Champion will be teaching an ongoing series of classes on performance and documentation there of. Please see posts in either the Facebook group for the barony or on the Madrone email list for the schedule of which topics will be addressed at which social!

I have met with Adriana to assist how I can with the planning of the championship to find her successor as well as discuss ideas for classes, an A&S social/work session (which we are looking at several locations for) and possibly proposing a group-collaborative-project challenge (all of these things are being looked at with September starts at the earliest so as not to conflict with tourney season)

So despite this explosive creativity…. no fatalities, no injuries, and Madrone shines Brighter in the AnTirian firmament. That is all for now.

Yours in Service

Baron Aeron Corrino A&S Minister

Herald (6/16) (Lady Matilda Stoyle)

Greetings, Madronans!

Here is the July report for heraldic goings-on in June.

Events/Court Report
—————————–

Madrone did not hold any events with court since my last report.

Misc Announcements
——————————-

The Red Tree tabard has been rediscovered!  Big thanks to Gerard le Bon d’Orleans for locating it, and Kerij-e and Annisa for getting it to me. (This item was modeled for us at curia and the applause was thunderous!)

Emprise of the Black Lion is coming up in September.  Start planning your banners, helmet crests, and other heraldic display now!

Your humble herald is going to get a working internet connection at home sometime this month, for real.

One recent arms ruling that may be of interest, from the most recent Letter of Acceptance and Returns at http://heraldry.sca.org/loar/2015/05/15-05cl.html ….

“Due to lack of documentation and identifiability issues, billets with complex lines will not be registered after the November 2015 decision meeting without evidence of period practice.”

If you want to have a device or badge with a billet (rectangle) that has sides which aren’t just straight lines (e.g. wavy or zigzags) then you pretty much need to submit it now.

Name and Device Registrations
———————————————

Recently registered:

 * Christopher Stanley. Device change. Quarterly sable and Or goutty de larmes bendwise sinister.

Please suggest to the submitter to draw the gouttes in a more period manner, with wavy tails.
The submitter’s old device, Azure, on a chief embattled argent three thistles proper, is released.

* Christopher Stanley. Badge. Sable, three lightning bolts conjoined in pall inverted Or.

There is a step from period practice for the use of lightning bolts not as part of a thunderbolt.

 * Oddr Þiálfason. Blanket permission to conflict with device. Per saltire arrondi vert and Or.

Oddr grants permission to conflict for all armory that is at least one countable step (DC) from his registered device.

* Oddr Þiálfason. Heraldic will.

Upon Oddr’s death, all of his registered names and armory will be transferred to Hafr-Tóki. In the event that Hafr-Tóki cannot be reached in a reasonable time period, Laurel will determine the disposition of these items.

Currently in the registration process:

Have been decided on by Laurel, but the Letter of Acceptances and Returns (LoAR) is still being proofread:

Verena Reynhartt – name and device on 2015-03-31 LOI
Oddr Þiálfason – transfer of badge on 2015-03-31 LOI

Under discussion at the Society-wide level, on a Letter of Intent (LoI):
Elizabeth Nightingale – device on 2015-06-29 LoI
Gwen de Worde – name, device, and badge on 2015-06-29 LoI

That’s it.

Scribe (6/16) (HL Rignach of Argyll)

Lady Rignach of Argyll is largely out of town until Emprise, so any scribal business should be directed to Lady Madelena Vieri, Deputy Baronial Scribe.

Projects:

Reframing Madrone Charter – Step One : Fix seal on old charter. Update: The king has been added into the loop and it seems a new seal will be organized between our Baron and the King. Project remains on hold until a seal gets to us.

Scribal Night:

Date & Time: The scribal night is happening the first & third Mondays. The Next meeting is July 20th. Location is the KapKa school where fight practice is happening.

Charters: We received zero painted charters in June. I have several kingdom charters to hand out. Please return to me anything you have outstanding, even unfinished work. We are trying to amass enough Baronial charters to cover both the Emprise *AND* Banquet because they are too close together for work to occur between.

Scroll Assignments:

Event steward scrolls have been assigned for Peasants’ Revel, Emprise, Baronial Banquet, and the Madrone Arts & Sciences Competiton.

Current Stock: Estimated needs for the next three events. No production occurred over the Nov-Dec holidays last year, none is projected this year.

Tsvetis: Have 5, Need 8-10 Total

Green Leafs: Have 13, Need 10-12 Total

Gwraidds: Have 8, Need 2 Total

Champions: Have 1 and 1 that needs the calligraphy re-inked, Need 4 Total

Saplings: Have 1, Need 3 total

Book marks: Have 0, Need 12 total

Thank Yous: Have 0, Need 4 total

Classes and Attendance:

June 15th : Calligraphy – Part Two class was very successful, eight scribes in attendance.

July 6th:  Seven scribes created entire acanthus leaf borders in Beginner Acanthus Leaf Design.

Office Materials:

Purchased: No purchases made in June

Still Needed:

Framing for Madrone Charter and Scribal Regalia

Droppers

Black wax melting/pouring pot (using coke can for now)

Box to contain all the seal making elements – needs to be heavy duty enough to contain the cast iron griddle, all the wax, matrix, poured seals, melting pots, tools, and foils.

Archival storage for past reign charters & masters – looking at portfolios and acid free boxes. So far, these seem expensive solutions.

June Goals:

Scroll assignments – if you want to make an original scroll contact me (Complete)

Build up an inventory of charters ready to be signed and sealed (In Progress)

Get approval for continued work on Framing projects – (In Progress)

Train deputy on sealing charters (In progress)
